Your Field
Last updated: 2026-10-17
Your Field ("we", "us", or "our") operates an online guide that helps parents and caregivers discover children's and family activities in New York City. (We plan to add other cities; this policy will name them when they are live.) This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices and rights you have.
If you have any questions, contact us at info@classscout.ai.
This policy applies to the Your Field website and the services offered through it (the "Service"). It does not apply to third‑party websites, activity providers, or services that we link to or display, which have their own privacy practices.
The Service is intended for adults (18+). We do not knowingly collect personal information from children (see the "Children's privacy" section below).
a) Information you provide when you create an account. Your Field offers an optional sign‑in, through our identity partner doneisbetter (sso.doneisbetter.com), so you can save listings and see your full results. When you sign in, we receive and store your name and email address from that provider, plus a stable account identifier. We do not collect a password directly. Authentication is handled entirely by doneisbetter.
b) Information you create while using the Service. This may include the listings you save, the activities you add to your planner/calculator, your stated family preferences (such as age ranges, interests, and preferred times), and your chosen neighborhood. This information is stored to operate the features you use.
b‑1) Email settings (your choice). In My Account you can choose the email topics you would like to hear about and how often. We store those choices with your account, together with when you last changed them, so they can be honored. We do not yet send email alerts ourselves; if alerts are introduced, by us or by a partner acting on our behalf, they will follow the choices you set, and this policy will describe them before the first one is sent. You can change or clear your choices in My Account at any time.
c) Account activity metadata. For each account we store when it was first created, when it was last seen, and a count of sign‑ins, so the Service can recognize you on return. When your account is first created we also record where it came from: the page you signed in from, and, only if your browser carried them on your first visit, the campaign parameters in the address (utm_source, utm_medium, utm_campaign) or the name of the site that referred you. This is recorded once, holds no identifier, and is used to count sign‑ups by source; it is not used to profile you.
d) Usage and product telemetry. We collect coarse, non‑identifying product analytics to understand how features perform, for example, that a results limit was reached, or a sign‑in prompt was shown or clicked, and high‑level search dimensions (such as a borough or category). This telemetry contains no names, no account identifiers, no free‑text queries, and no child data, and is automatically deleted on a rolling 90‑day schedule. (Our software has an optional setting that would also keep a name‑ and contact‑redacted copy of what you typed into Scout AI, for 90 days, so we could improve its understanding; that setting is off in production, and if we ever turn it on we will update this policy first.)
d‑1) Personalized recommendations (opt‑in only). If you turn on "Personalized recommendations" in My Account, we additionally record which listings your signed‑in account views, saves, and contacts, so we can suggest activities you might like. This is collected only after you explicitly opt in, is off by default, and is tied to your account (never anonymous, never active while signed out). Turning this off in My Account stops new collection going forward; it does not erase activity already collected, which is kept while your account exists or until you ask us to delete it (see "Data retention" and "Your rights" below).
d‑2) "Notify me" email (opt‑in only). If a search returns no results because we do not yet cover that area, you may submit your email address (plus, optionally, a note about what you're looking for) so we can let you know when we add matching listings. This requires checking an explicit, unchecked‑by‑default consent box, no submission is accepted without it, and does not require an account or sign‑in. It is used only to follow up about that search; we do not use it for general marketing.
d‑3) Device location, when you share it (opt‑in only, never saved). If you click "Use my location" and your browser grants permission, we use your device's reported location (and, when you additionally choose a distance option, send that coordinate to our server for that one search) to find nearby results, resolve your borough/neighborhood, and offer a "within N km" filter. Your location is never requested automatically or on page load, and a browser permission denial is remembered only for that browsing session, not saved to your account. Your coordinate is used only for that single search, is not attached to your account or session, and is not written to any log. When the optional "travel time" feature is switched on, the server keeps the travel‑time results for a roughly 110‑meter grid cell around your location, not your exact coordinate, for up to 7 days so repeat searches from the same area are fast; that feature is currently off. You can clear a granted location at any time from the same control that requested it, without needing to change your browser's permission settings.
e) Technical information and cookies. We use a small number of cookies that are necessary to operate the Service (for example, to keep you signed in), and Google Analytics cookies that measure how the site is used in aggregate. See our Cookie Policy, including how to opt out of analytics. Our hosting provider may process standard server logs (such as IP address and request metadata) for security and reliability.
e‑1) Claim, update, and featured-placement requests. If you ask to claim a listing, suggest a correction, or enquire about featured placement (forms shown only when the relevant feature is switched on), we store the information you submit so our staff can review the request. For a claim, every evidence and contact field is optional: if provided, this may include your name, email address, role, phone number, business website, business registration number, proof link, and request text. For an update or featured-placement request, name, email, role, and request text are required; phone and proof link are optional. We encrypt a business registration number at rest and make it available only to authorized staff reviewing the claim. Requests are kept while under review and for 12 months after a decision, then deleted automatically.
f) Activity‑provider information we display. Listings shown in Your Field (provider names, addresses, websites, phone numbers, schedules, locations) are sourced from public directories, civic sources, and the Google Maps Platform. This is information about businesses/organizations, not about you (see the "Google‑sourced data" section below).
f‑1) How listings are compiled. We use automated tools, including machine‑learning models, to read public sources and draft listing text from them. Every listing then passes automated quality checks before it is shown, and our staff review listings the checks flag and can correct any listing. Listing text is a description of a business or program, never a message written to you personally.
We use the information above to:
We do not sell your personal information, and we do not use it for third‑party advertising.
Where applicable law (such as the EU/UK GDPR) requires a legal basis, we rely on: performance of a contract (operating the account features you request); our legitimate interests (operating, securing, and improving the Service in a privacy‑protective way); and consent where required (for example, analytics cookies where your jurisdiction requires it). For US users, we process information consistent with applicable state privacy laws, including the New York SHIELD Act for data security and the California Consumer Privacy Act (CCPA/CPRA). See §9 for California-specific rights.
We use cookies that are necessary to operate the Service, and Google Analytics cookies to measure how it is used. Full details (names, purpose, duration, and how to opt out of analytics) are in our Cookie Policy.
We share information only with service providers that help us run the Service, and only as needed:
sso.doneisbetter.com), which provides us your name and email address after you sign in there._ga cookies. These providers process data on our behalf under their own terms and security commitments. We may also disclose information if required by law, to protect our rights or users' safety, or in connection with a corporate transaction. We do not sell personal information.
Some listing details are enriched using the Google Maps Platform. We store only a defined, non‑personal set of business fields (such as place identifier, address, website, phone, schedule, coordinates, and business status) through a single enforced policy chokepoint, and we explicitly never store photos, reviews, reviewer identities, or ratings from Google. Map tiles are served by OpenStreetMap (or, optionally, Google), when you view the map, your browser requests tiles from the tile provider, subject to that provider's terms.
We keep information only as long as needed for the purposes above:
cs_ab identifier's page‑version assignments, stored as a one‑way hash) are deleted automatically after 180 days.Full details are in our Cookie Policy & Data Retention page.
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, and to object to or restrict certain processing. To exercise any of these rights, including account deletion, email info@classscout.ai and we will respond within the timeframe required by applicable law. You can also sign out at any time, which ends your session on that device.
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you the following additional rights over your personal information:
To exercise any of these rights, email info@classscout.ai. We will verify your request using the information tied to your account (or, for a request made without an account, information you provide) before responding, within the timeframe required by law. You may designate an authorized agent to make a request on your behalf.
The Service is for adults. We do not knowingly collect personal information from children under 13, and the current account flow does not collect any child data. We are developing optional, consent‑based child profiles for a future release; before any such feature collects information about a child, we will provide a COPPA‑compliant notice, obtain verifiable parental consent, and give parents controls to access, correct, and delete that information. If you believe a child has provided us personal information, contact info@classscout.ai and we will delete it.
We protect information with measures appropriate to its sensitivity, including encrypted transport (HTTPS), signed, http‑only session cookies, least‑data telemetry, and access controls on our database. No method of transmission or storage is perfectly secure, but we work to protect your information consistent with the New York SHIELD Act and good industry practice.
The Service is operated from the United States and intended for families in the city we currently serve (New York City). If you access it from outside the US, you understand that your information will be processed in the US.
We may update this policy from time to time. We will revise the "Last updated" date above and, for material changes, provide a more prominent notice.
